Deletion (*)

The ‘delete’ feature is typically used as part of lifecycle data maintenance, including the consolidation of data. This involves removing duplicates or secondary entries that have been merged into a primary.

LIL, LL and TL DELETION

Individual deletions can be performed from the full entry view.

To delete an entry and all its sublevels:

  • from the full entry view, right-click on the IATE ID and click on ‘Delete entry’ (or via the Quick edit panel, click on ‘Delete entry’ at LIL).

Depending on your role, you may only be able to delete entries owned by you, or also entries belonging to your institution, or even entries belonging to other institutions.

To delete a language level (LL), i.e., a language and all its terms:

  • from the full entry view, right-click on the language code and click on ‘Delete language’ (or do so via the ‘Quick edit’ panel).
You cannot delete a language if it is the only language on the entry or if it is the anchor language.

To delete a term level (TL), i.e., a term and all its fields:

  • from the full entry view, right-click just inside the box surrounding a given term level to open the contextual menu and click on ‘Delete term’ (or do so via the ‘Quick edit’ panel). Please note that terms must be deleted one by one.
A language can be left empty if there are no equivalent terms in that language. It is therefore possible to delete all the terms in a language and leave it empty. However, at least one other language on the entry must contain at least one term (i.e. an entry should always contain at least one term).
You cannot delete a TL if it is the only term on the entry.

Manual deletions always trigger a confirmation message before the operation is executed.

BATCH DELETION

To delete content in bulk:

  • access the ‘Management’ menu and open the ‘Batch deletion’ tab;
  • download the ‘Batch deletion’ template and list the IDs of the entries, languages (optional) and terms (optional) that you wish to delete in one go;
  • upload the file and click on ‘Launch async job’;
  • follow the status of your request in the ‘Asynchronous requests’ tab (accessible from the ‘Management’ menu).

All deletions are tracked in the ‘Undelete’ monitoring screen. By default, batch deletions are hidden, but you can display them by turning off the ‘Don’t show hidden deletions’ switch. Read more about undeletion.

INTERINSTITUTIONAL DELETION CHECKLIST

As a general rule, if you delete an entry or part of one, make sure to keep any relevant information by transferring it elsewhere (to another entry, a lookup form, notes on the same entry, etc.).

Before deleting (part of) an entry belonging to another institution, make sure that:

  • it is a clear duplicate (i.e. it must clearly refer to the same concept as the primary) or has no added value;
  • it is not part of an ongoing project (check ‘Management’ and ‘Related projects’ fields and possible comments);
  • it is not a primary entry.

If the deletion follows a merge, make sure that:

  • the LIL has been concatenated and no collection-related information is lost;
  • the primary entry is then cleaned up (if necessary, with the help of native speakers of the languages concerned).
