create terminology Assignments
Open the ‘Assignments’ tab in your TPM project and click on the ‘Create new assignment’ button.
- Select a language: ‘all – automatically assign all project languages to internal divisions’ is selected by default. You can also create an assignment for an individual language, in which case two more fields will appear (‘Assignment type’ and then ‘Division’ or ‘User’, depending on your assignment type selection). To find the user, type their first name or last name in the box and click on ‘Search’. Then click on the ‘Add’ button. You can only select one assignee for each task (either a division or an individual user).
- Define the type of task, depending on what is expected from the assignee(s): task for action, for completion, for feedback, for revision or for validation.
- Provide assignment instructions to further detail what is requested from assignees. These will be visible to all assignees selected for this assignment. If you assign one language at a time, you will be able to provide language-specific instructions. If you create assignments for all languages at once, you will provide the same set of ‘Assignment instructions‘ to all assignees.
- Set a due date for the tasks.
Click on ‘Create’.
Specific ‘Assignment instructions’ are not to be confused with ‘Project instructions’, which are more generic. Read more about the various ways to provide information about a project. |
If you assign tasks to a division, each division member with sufficient rights will be able to take care of these tasks. The assignment to individual users can be done by the division members themselves. |
Note that the following fields in the ‘Project info’ tab will not be visible to external collaborators: Project status, Author, Creation date, Last modification, Confidentiality, Mandatory, Due date, Outsourcing, Interinstitutional file number, Internal reference, Target language(s), Comments, Related collections, Related projects and EurTerm link. If none of the other fields are filled in, external collaborators will see the ‘Project info’ tab as empty.
Filter and group assignments
If your project already contains assignments, use the drop-down list to filter them by assignees. The default view displays all assignees.
You can group assignments by type (default), by language or by status via the dedicated buttons .
Check the completion of Project assignments
Click on the ‘Show more’ icon or ‘Expand all’ button to display further details about the assignment(s). Assignments will be listed in a table displaying the language, the type of assignment, the assignee, the assignment instructions, the completion percentage, the assignment status, and the due date. For fully completed assignments, the completion date is also displayed.
Click on the ‘Show more’ icon at the end of each row to monitor the progress of each task (i.e. the status of each IATE entry). |
Delete an assignment
Click on the ‘Expand’ icon of an assignment and click on the ‘Remove’ icon to delete the assignment.
