The marks ☍ in IATE are designed to consolidate all feedback and comments related to a specific entry, making it easier to improve the entry or remove it if it is no longer deemed necessary. This feature allows users to add comments and tasks containing their remarks and to manage them as needed, either from the full entry view or from the marks management screen.

TYPE OF MARKS
There are three types of marks:
- Feedback: External users can submit ‘feedback’ via a form accessible from the full entry view. The ‘Email’ and ‘Comment’ fields are mandatory, and users can specify if the feedback applies to the whole entry or a specific language. Read more about feedback on an entry.
- Tasks: Internal users can create tasks for specific recipients (an institution or division). You can indicate the type of task and whether it is related to a specific project or co-decision file, and whether it can or cannot be deleted by the recipient. The recipient of the task can update the task status (‘New’, ‘Ongoing’, ‘Done’) and, if needed, forward the task by email. It is possible to add comments (see below) or further tasks to a main task.
- Comments: Internal users can also add comments. Comments are not assigned to a specific recipient and have no status, but additional comments or tasks can be appended to them.
MARK CREATION
To create a mark:
- from the full entry view, open the ‘Marks’
icon at LIL, - click on the ‘Add mark’ icon, select a type (task or comment) and fill in any other relevant fields,
- click on ‘Create’.
The mark icon changes according to the status of the mark(s) on the entry: if there are no marks; if all tasks have been completed. |
When inserting content in the free text field of a mark, you can apply formatting, use special characters, insert hyperlinks, and use the clipboard function. |
MARK MODIFICATION & FOLLOW-UP
Marks can be modified as follows:
- Feedback cannot be changed.
- Comments can be edited by their author and by Administrators, but only if there are no additional marks appended to them.
- Tasks can be edited by their author and by Administrators, but only if there are no additional marks appended to them.
A comment can be converted into a task, or vice versa. |
While following up on a mark, the mark’s recipient can:
- change the mark status (‘New’, ‘Ongoing’, or ‘Done’),
- use machine translation to read the mark in their interface language,
- add comments or tasks to the mark to reply to the mark’s author and create threads,
- forward the mark by email,
- archive the mark once its status is changed to ‘Done’
- remove the mark
- add to a project, or
- add to ‘Table view’.
You can append comments or tasks to any type of mark, thus creating threads. |
MARK REMOVAL
Marks can be removed as follows:
- Feedback and any appended item can only be deleted by Administrators.
- A comment with no appended items can be deleted by its author, users in the author’s division, or Administrators.
- A task and any appended item can be deleted by its author, users in the author’s division or Administrators. Users in the recipient’s division can only delete these if the mark has the status ‘Deletable by recipients’.
Once deleted, marks cannot be undeleted. |
MARK ARCHIVING
There is no automatic archiving of marks, but they can be archived manually as follows:
- Pre-condition: the task status of the whole thread should be set to ‘Done’.
- Click on the archive
icon (found on the main mark of a thread).
To consult archived marks:
- from the full entry view, click on the ‘Marks’ icon and open the ‘Archived marks’ tab, or
- from the ‘Marks’ monitoring screen, click on ‘Search in archived marks’. Archived marks cannot be modified or deleted.
‘MARKS’ MONITORING SCREEN
From the ‘Management‘ menu, access the ‘Marks‘ tab or ‘monitoring screen‘ for easier follow-up.
- This screen provides several filters to allow you to retrieve marks according to specific criteria.
- You can perform a wide range of actions to deal with each mark (see list of actions above).
- Each mark contains a link to the related IATE entry.
