Validation (*)

IATE uses validation ☍ to show that a basic check has been performed on an entry, ensuring that it complies with IATE data entry rules and is fit for release to public users. This feature allows users with specific permissions, such as terminologists for each language at each institution, to validate their language data. The following instructions apply to those users only.

VALIDATE ITEMS IN FULL ENTRY VIEW

You can validate items in an entry directly in full entry view by clicking the ‘Validate’ button on non-validated language levels (LLs) or term levels (TLs). You can also click the ‘Validate all’ button just above the LL to trigger the validation of an LL and all its TLs for which you have validation rights.

Another way of validating an item either at LL or TL is by right-clicking and selecting the ‘Validate’ or ‘Validate all’ button in the contextual menu. These options are also available in the Quick edit panel.

USE THE VALIDATION MONITORING SCREEN

To use the ‘Validation’ ☍ monitoring screen:

  • access the ‘Management’ menu, and
  • click on the ‘Validation’ tab.

To help you refine your results, the following filtering options are available by default:

  • Validation status: not validated, not validated + pre-IATE, pre-IATE
  • Latest modification date (‘Changed before’)
  • Languages (‘Show results in’)
Additional filters (such as ‘Owner’, ‘Domains’, or ‘Collections’) are available if you click the ‘Choose and sort filters’ button. You can drag and drop filters in the order you want, and a summary of all those applied will be displayed above the search results.
You can use the filter ‘Institution of the user triggering last validation change’ to display changes made by users in other institutions only, by clicking on ‘All’ and then deselecting your own institution from the list.

Once you have selected all the necessary filtering options, click the ‘Search’ button to obtain the list of LL and TL items awaiting validation that match the criteria you have applied.

The most recent data are displayed at the top of the results list. You can change the number of results displayed per page (10 by default, but the range goes from 5 to 100) in the bottom-right corner. If you change the value, your choice will be saved in the local storage.

If you click on an entry ID, you will be taken to the language containing the LL or TL to be validated. You can also refine the search by clicking on a specific username (in the ‘triggered by’ or ‘last modified by’ columns).

You can consult the history of the relevant LL or TL directly from the validation monitoring screen by clicking on the ‘History’ button. You can also access marks to see any tasks or comments directly from the validation monitoring screen by clicking the ‘Marks’ button.

You can validate several items at once by checking the boxes in the first column and clicking the ‘Validate all’ button. Please use this time-saving feature with caution, and only validate items which have been properly checked. Validation queues should be checked regularly, and non-validated data should be validated as soon as possible.
When a TL with reliability 1 is validated, it will be automatically set to reliability 2, except in the case of lookups. A warning will inform you that the reliability has been automatically upgraded.
Please note that validated TLs will be visible to external users regardless of the validation status of LLs.
USE AUTOVALIDATION

You can have one of your working languages set as an autovalidation language. This must be done by an administrator in the User Access Control module.

For an EU language (including LA and MUL) to be added as an autovalidation language, it needs to be one of the working languages of the user.

When you create or modify content in a language set as your autovalidation language, it is validated automatically. If you modify data that were previously validated by another user, the ‘Validated’ status is kept and the previous user still appears as validator with the original validation date.

Autovalidation only works for data belonging to your own institution. In addition, pre-IATE data cannot be autovalidated and remain ‘pre-IATE’.

Non-EU languages are always validated automatically upon creation or modification.
