The batch search ☍ feature allows you to search multiple entries simultaneously by uploading either a list of entry IDs or a list of terms.

SEARCH BY A LIST OF ENTRY IDs
To run a search by a list of entry IDs:
- Download the template (.xlsx) available in the ‘Batch search’ screen.
- Enter the entry IDs in the first column. You can also filter for language and term in the second and third column to restrict the search (optional).
- Upload the file to the batch search.
Once you have uploaded the Excel file, you can set the following options:
- Type: select ‘search by entries’ from the drop-down list.
- Request name: by default, IATE fills this in with the name of the file you uploaded, but you can change this.
- Output format: choose between XLS (default), SDLTB and TBX.
- Execute after core hours: as this is a resource-intensive operation which may overload the system, you are strongly recommended to execute it ‘after core hours’, in which case it will be executed after 10 p.m.
- Export all fields: if you choose Excel as the output format, you can decide whether to export all fields or only a specific set of fields, which can be selected from the list.
The operation is launched in asynchronous mode. You can follow the status of the request and the results in the ‘Asynchronous requests’ ☍ tab (in the ‘Management’ ☍ menu).
There is no technical limit on the number of entries that can be included in the Excel file for a batch search, but the recommendation is not to exceed 500 in order not to overload the system. The output file can contain up to 100 000 entries for Administrators and 5 000 entries for other internal users.
SEARCH BY A LIST OF TERMS
The second option for running a batch search is by a list of terms. To do so, you have to:
- Download the template.
- Enter your list of terms (one per line).
- Upload the completed file to IATE.
- Select the type of batch search, the source language of the terms and the matching type.
The rest of the options are as described above in the ‘Search by a list of entry IDs’ section, including the recommendations on the length of the list.
After running a batch search by list of terms, you will get a detailed batch search report that includes:
- exported matching entries with the selected fields (‘Export’ tab)
- a summary of matching entries: list of IATE matches per term and list of matching IDs (‘Report’ tab); and
- details of the language coverage for each matching entry: list of all IATE languages with an X added for any language present in the matching entries (‘All Languages’ tab).
If you want to get an exported file with clickable IDs that open the entries in full entry view, select the option ‘Export IATE ID as link‘ before launching your request.
