In addition to the basic editable fields at the language-independent level (LIL), there are several other fields available for editors to use when necessary.

ORIGIN AND ORIGIN NOTE
Use this field when a concept is country-specific (or EU-specific). To choose an origin, open the drop-down list and select the name of the country (or ‘EU’).
You can insert multiple origins if needed, by double-clicking on the ‘Origins’ label and clicking on the ‘Add new origin’ icon. Origins will be displayed in alphabetical order on the results page and in the full entry view.
You can give more specific information on the national or geographical origin of a concept in the ‘Origin note’ field. The origin note should be written in English.
LIFECYCLE
You can specify the lifecycle of an entry using the drop-down menu and designate it as:
- historical (no longer in use or existence),
- proposed (not yet adopted), or
- abandoned (proposed but ultimately not adopted).
MANAGEMENT
The management field should be used exclusively by terminology coordination team members to store information about the management of the whole entry, such as:
- the projects it is or was part of, and
- any other relevant details for coordination purposes.
When adding a new line to this field, always begin with the name of the institution in the following format: [COM], [EP], [Consilium], etc. (i.e. the names or short forms for the institutions used by IATE itself).
RELATED PROJECTS
You can click on the ‘Load TPM info‘ button to display the projects in which the entry has been added.
CLEANUP LISTS
You can click on the ‘Load Cleanup lists info‘ button to display the lists in which the entry has been added.
ATTACHMENTS
You can attach documents or graphics to a LIL to provide additional information or illustrate something. All attachments must be copyright-free. For more details, see Attachments.
ATTACHMENT REFERENCE
It is obligatory to insert a proper reference to the attached file indicating the source of the attachment.
NOTES
Use this field to add information about the concept that applies to all languages, not just one language or term.
When creating or editing content, you can set this field as confidential by clicking the ‘Not confidential’ button.
You can add multiple notes in this field. Each note will have its own separate space (LIL note field) and its own reference.
NOTE REFERENCE
If applicable, indicate the source of your note in the ‘Note reference’ field. Providing a note reference is optional, so you may leave it empty.
The note reference field offers you the usual formatting options. For example, you can:
- adjust the formatting,
- add URLs using the ‘Add link’ button to ensure the link works and is properly created,
- look up and insert EUR-Lex references via the EUR-Lex reference module.

CONFIDENTIALITY
Confidential entries are not available to non-authenticated users. Various confidentiality levels are available based on your user rights.
To set the confidentiality level of a new entry you are creating, go to the LIL section of the entry creation form and select the option you need from the ‘Confidentiality’ drop-down list.
For existing entries,
- open the LIL for editing and choose the option you need from the ‘Confidentiality’ drop-down list, or
- use the Quick edit panel to mark the entry as confidential.
Always follow these general principles:
- Change the default setting from ‘Not confidential’ only where absolutely necessary.
- Before making a previously confidential entry public, ensure that its entire content can be disclosed to the public and that it does not duplicate another entry.

ENTRY STATUS
The default status for both new and existing entries is ‘not raw’.
However, if you have the role ‘Administrator’ or ‘Terminologist+’, you can mark entries that are in the early stages of completion (e.g. part of a project under preparation in the Terminology Projects Module) or undergoing substantial revisions as ‘raw’.
When changing the entry status, please keep in mind that ‘raw’ entries are:
- excluded from basic search results by default. You can modify this setting by opening up the ‘Expanded search’ filter options (click on ‘Show more’ to find the ‘Entry status’ filter) or changing your user preferences;
- not included in the TRM (Term Recognition Module);
- hidden from external users;
- still taken into consideration and displayed in the results during duplicate detection when creating a new entry.
PROTECTION
If an entry is ‘Protected’, only users (or only Administrators) from the institution that owns it can edit the data. If the entry is not protected, anyone with editing rights can update it, regardless of the institution they belong to. Users must have special rights to set or change the protection level of an entry.
To protect a new entry:
- Select ‘Protected’ in the ‘Protection’ drop-down menu in the entry creation form.
- Choose the appropriate options to specify the protection strategy and level, and whether protection should be cascading.
For existing entries:
- Open the LIL for editing, select ‘Protected’ in the ‘Protection’ drop-down menu, and make the necessary selections.
- Alternatively, use the Quick edit panel to adjust the protection settings.

OWNER
This field is used to designate the institution/body responsible for keeping this LIL up-to-date.
For new entries, ownership is assigned automatically to the institution/body that created the LIL.
